Why 2026 is the year to reconsider
Many Indian hosts have put off using a property management system (PMS) because spreadsheets and WhatsApp feel free. They also had a real financial reason. When you connected software to Airbnb, your listings were typically moved to host-only pricing, while hosts without software kept paying a 3% fee.
That reason has gone. Airbnb has moved every host to a single, host-paid service fee, usually 15.5%. Software-connected listings switched first, finishing in April 2026, and the remaining Indian hosts followed by 15 September 2026. PMS, channel manager or property manager?
These are different things, and vendors blur them:

When you actually need one
Start looking seriously when two or more of these are true:
- you manage more than one property, or properties for someone else
- you list on Airbnb plus Booking.com, Agoda, MakeMyTrip or another OTA
- reservations get copied into a spreadsheet by hand
- cleaners get their instructions in scattered WhatsApp messages
- prices differ between channels by accident
- guest messages get missed or answered late
- you can't see net revenue, expenses or owner performance in one place
- repeat guests have no easy way to book with you directly
- the business stops when you go offline
Software isn't only for big property managers. It's most valuable at the point where informal processes start producing expensive mistakes.
The India checklist: ten things to check
1. Airbnb import and connection
If your properties are already on Airbnb, the system should import them. You shouldn't have to rebuild each listing by hand. Ask exactly what the Airbnb connection syncs: reservations, rates, availability, restrictions and messages.
2. Indian OTAs, not just Booking.com
India isn't an Airbnb-only market, and "we support Booking.com" doesn't answer the question. Ask whether MakeMyTrip connects directly (it's the biggest domestic channel, and its connection also covers Goibibo), then check for each channel:
- room and rate-plan mapping
- multi-unit inventory
- taxes and fees
- minimum stays and restrictions
- modifications and cancellations
- channel markups
- sync status, and where errors show up
3. One calendar you can trust
Every booking, owner block and manual reservation should sit on one calendar. The system should make double-selling impossible and show clearly when a channel is still syncing. iCal passes blocked dates. API connections carry rates, restrictions and reservation details. Find out which one each channel uses.
4. Pricing and channel markups
Your Airbnb price has to absorb a 15.5% host fee, while Booking.com, Agoda, MakeMyTrip, direct bookings and payment gateways all cost something different. Look for base rates and rate plans, weekday, weekend and seasonal pricing, minimum stays, date overrides, discounts and add-ons, channel-specific markups, and support for dynamic pricing tools.
5. WhatsApp, both ways
Email alone won't work for most Indian guests, or for your cleaners. Ask whether WhatsApp messages can be sent and received from the same inbox as your Airbnb and Booking.com messages, so the whole conversation stays with the reservation. Then check how the system separates scheduled messages, such as check-in instructions, from live conversations and AI replies, and how a conversation gets handed to a person.
6. Cleaning, maintenance and your team
A booking calendar isn't an operations system. Once a guest checks out, someone has to know what to do, where to go, and how to prove it's done. Look for reusable task templates, checklists for each property, cleaner assignments, due times, photos, issue reporting and progress tracking. The goal is to stop asking "did anyone clean Villa 3?" in a group chat.
7. Rupee payments and direct bookings
Ask which payment gateways you can actually use from an Indian account, and whether guests can pay by UPI. Then ask how the system handles full and partial payments, deposits, payment links, bank transfers, refunds, and a direct-booking website with its own checkout. Direct bookings should add to what the OTAs bring in. Your staff shouldn't have to copy dates between systems to make them work.
8. Owners, expenses and reporting
If you manage for other owners, the system should answer these questions without a spreadsheet: which reservations are coming up, what each property earned, which expenses need approval, and what management fee is due. An owner portal lets owners see their own properties without calling you for a report.
9. Accounting and compliance
No software replaces your CA. What it should do is give your CA clean records: invoice data, transaction exports, expense records and payout reconciliation. If you use Xero, check whether the system connects to it. Then ask about compliance workflows, in particular guest ID collection. Foreign guests need a Form III filing within 24 hours of arrival, so ID collection needs to start at booking. Confirm exactly what's automated and what stays your job.
10. Support, migration and pricing in rupees
Ask who helps when a channel is mapped wrong on a Friday night. A cheaper tool gets expensive when onboarding is unclear. Check onboarding help, migration from spreadsheets or another PMS, support hours and channels, and how you export your data if you leave. Also check whether you can pay for the software in rupees, or whether you'll be paying in dollars.

Is a channel manager the same as a PMS? No. A channel manager syncs rates, availability and reservations across booking sites. A PMS runs the wider business, including reservations, guests, messaging, payments, operations, owners and reporting. Many PMSs include a channel manager, so you only need one.
Can a PMS stop double bookings between Airbnb and Booking.com? Yes, if the connection is real-time and set up properly. That means the correct property and room mapping, healthy connections, and letting the first sync finish before you edit the same dates. iCal-only setups are slower and still leave room for double bookings.
How many properties do I need before using a PMS? There's no fixed minimum. One property sold on four channels can need a PMS sooner than three Airbnb-only listings. How complex your operation is matters more than how many properties you have.
Does connecting a PMS still increase my Airbnb fee?
